Staff & shifts

Build a staff-by-day shift schedule (work roster) and print or save it as PDF entirely in your browser — for anyone who wants a free shift-table maker with no Excel template to hunt for. Pick a year and month and the tool lays out one column per day of that month with the date and weekday (weekends are shaded). Use "Add staff" to add a name row, then type a symbol in each cell — early, late, night, off, A/B, or any free text up to 3 characters. The days worked per staff (excluding off symbols and blanks) and the head-count on duty for each day are totaled automatically, so you can spot under- or over-staffing at a glance. Symbols like off markers (/, ×) and blank cells are treated as not working. Write a legend below the table (for example E=early, L=late, N=night, /=off) and it prints with the schedule. Changing the year or month keeps the names and symbols you entered. "Clear cells" empties the cells to start over. Click "Print / Save PDF" to open the print dialog at A4 landscape actual size, then print or choose "Save as PDF". Your names and symbols are never uploaded or stored — everything happens on your device — and only the weekend shading, count display and accent color are remembered. This tool builds the symbol grid and counts head-count only; it does not handle wages, pay or any monetary amounts.

How to use

  1. Pick a year and month (one column per day, with weekday, is laid out automatically and weekends are shaded).
  2. Use "Add staff" to add name rows and type a symbol (early, late, night, off …) in each cell — days per staff and head-count per day are totaled automatically.
  3. Add a legend, check it, then click "Print / Save PDF" to print at A4 landscape actual size or choose "Save as PDF".

FAQ

Do I need to sign up or install anything, and is it free?

No. There is no account and no software to install, and no Excel template to hunt for. Everything runs in your browser and is free. Your names and symbols are never uploaded or stored — only the weekend shading, count display and accent color are remembered on this device.

What symbols can I use? Am I limited to fixed codes?

Each cell is free text (up to 3 characters), so you can use early/late/night/off, A/B, day-shift or any code you like. Off markers (/, ×) and blank cells are treated as not working and excluded from the day and head-count totals. Write what each symbol means in the legend below the table so it prints clearly.

Are days worked and daily head-count calculated automatically?

Yes. Each staff row shows the days worked (excluding off symbols and blanks) on the right, and the head-count on duty for each day is shown at the bottom. Toggle them with "Show counts" — useful for checking staffing. Note it counts people only and does not handle pay or wages.

Do my entries disappear when I change the month?

No. Switching the year or month keeps the names and symbols you entered and only rebuilds the columns to match that month's number of days. Use "Clear cells" when you want to empty just the cells.

Can I print it or save as PDF, and what format is it?

Click "Print / Save PDF" to open the print dialog at A4 landscape actual size, then print or choose "Save as PDF". The format is a staff-by-day shift table with a month/team header, a name column on the left plus a column per day (with weekday), days per person on the right and the daily head-count at the bottom.
